Privacy Policy

1. Who we are

Stellenbosch Maths Studio provides in-person maths tutoring in Stellenbosch, South Africa, and a mobile app for registration, package purchase, booking, notices, and study resources.

2. Information we collect

We collect the following categories of information:

• Account information: parent or guardian display name and verified mobile / WhatsApp number used to sign in with SMS one-time code. We do not require or collect a parent email address for account registration.
• Learner information: learner name, school, grade, and optional learner WhatsApp number, added by a parent or guardian.
• Purchases and bookings: packages bought, payments status, session credits, bookings, cancellations, waitlist entries, optional focus notes (Boost / Revision), and capped study-resource download counts.
• Communications preferences and notices: in-app notice board content you view, and records needed to send booking, waitlist, renewal, and studio notices.
• Device and technical data: authentication identifiers, push-notification tokens (for example FCM), and basic app / service logs needed to operate, secure, and troubleshoot the service.
• Support correspondence: information you choose to send us by email or other support channels.

We do not ask for card numbers in the app. Card and payment instrument details are entered with our payment provider and are not stored by us.

3. How we use information

We use personal information to:

• Create and secure parent accounts via phone authentication
• Place learners in the correct Term Class groups and manage capacity
• Process package purchases and activate session credits
• Manage bookings, waitlists, cancellations, and renewals
• Send operational messages about schedules, notices, and account activity via WhatsApp and/or push notifications
• Provide capped downloadable study resources and links to related tools such as BlikBrein where advertised
• Respond to support requests and protect against misuse or fraud
• Meet accounting, tax, and legal obligations

4. Payments and receipt contact

Payments are processed by Paystack. To complete a payment, Paystack requires an email-shaped contact field. Because parents sign in with a mobile number and we do not collect parent email addresses, our systems may generate a technical payment contact identifier derived from the verified phone number for that Paystack field. This is used for payment processing only; it is not a parent-supplied email inbox we use for marketing.

5. Children’s information

The app is intended for parents or guardians managing learners. Learner information (including information about minors) is provided by the parent or guardian, who confirms they are authorised to enrol the learner. We use learner information only to administer tutoring, bookings, and related studio communications. We do not sell children’s personal information and we do not use it for third-party advertising.

6. Sharing and service providers

We share information only as needed to run the service:

• Google Firebase: authentication, database, cloud functions, file storage, and push notifications.
• Paystack: payment processing and payment verification.
• BlikBrein: only where Term Class access includes or links to BlikBrein; that service is subject to BlikBrein’s own terms and privacy practices.
• Professional / legal: accountants, advisors, or authorities when required by law or to protect our rights and users.

We do not sell personal information. We do not share personal information with third parties for their independent marketing.

7. International processing

Some providers (including Google Firebase and Paystack) may process data on servers outside South Africa. We use these providers to operate the app and process payments. By using the app, you understand that your information may be transferred to and processed in other countries where those providers operate, subject to their safeguards and applicable law.

8. Retention and security

We retain personal information only as long as needed for tutoring administration, accounting, dispute handling, legal compliance, and support. Access in the app is role-controlled. Sensitive payment, booking, and download actions are processed through secured server functions. No method of transmission or storage is completely secure; we take reasonable technical and organisational steps to protect information.

9. Your choices and rights

Subject to POPIA and other applicable law, you may request to:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion of your account and related personal information via our Delete Account page, subject to records we must keep for legal, accounting, or legitimate operational reasons
• Withdraw optional permissions (for example push notifications) in your device settings

To make a privacy request, email heleen.math4all@gmail.com from a channel that lets us verify you are the account holder (include your registered mobile / WhatsApp number), or use https://math-lab-a0274.web.app/delete-account.

10. Permissions the app may request

• Push notifications: to deliver booking, waitlist, renewal, and studio notices (optional; can be disabled in device settings).
• Photos / media (admin features): only when an authorised admin chooses to upload an image such as a timetable screenshot.

The consumer parent experience does not require continuous location, contacts, microphone, or tracking for advertising.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. The current version will always be available at https://math-lab-a0274.web.app/privacy. Material changes may also be communicated in the app or by our usual studio channels.
